Because custom production involves personalized manufacturing, proof approvals, production scheduling, and third-party shipping carriers, it is important that all customers carefully review and understand the terms, policies, and conditions outlined below before placing an order.

These disclaimers are intended to provide clear expectations regarding production timelines, proof approvals, shipping responsibilities, product variations, refunds, custom manufacturing limitations, and overall order processing procedures. By placing an order, approving a proof, submitting artwork, or using our website, the customer acknowledges and agrees to all terms, policies, and conditions stated below.

We strongly encourage all customers to carefully review each section to ensure a smooth ordering experience and to avoid unnecessary delays, misunderstandings, or issues during production and delivery.


Delivery, Production & Custom Order Disclaimer


All delivery dates shown on our website are estimates only and are not guaranteed. Delivery timelines depend on several factors including proof approval time, production schedules, order complexity, customization requirements, and carrier performance. Orders will only move into production after final proof approval, and any delay in approval may result in a revised production and delivery schedule.

Delays may occur due to high order volume, peak season demand, weather conditions, transportation disruptions, customs processing (for international orders), carrier delays, supply chain interruptions, or other unforeseen circumstances beyond our control. While we prioritize timely production and shipping, these factors may impact final delivery dates.

All production and shipping timelines are based on business days only and do not include weekends or holidays unless otherwise stated.

Once your order has been completed and shipped, it is handed over to third-party shipping carriers such as DHL, FedEx, UPS, or local delivery partners. From this point onward, delivery is fully managed by the carrier, and we have no control over transit times, routing changes, delays, customs clearance, or lost or misdelivered packages.

Tracking information is provided once your order enters the shipping stage, and all delivery updates are based solely on carrier systems. In rare cases, transit delays may occur without prior notice.

Orders may occasionally be shipped in multiple packages depending on production completion, product type, or fulfillment logistics. Separate tracking numbers may be issued where applicable.

Customers are responsible for providing complete and accurate shipping information at checkout. We are not responsible for delays, failed delivery attempts, additional fees, or lost shipments resulting from incorrect or incomplete addresses. Returned or refused shipments may require additional shipping fees for reshipment.

We strongly recommend reviewing and approving your proof promptly to avoid production delays and ensure your order is completed within the expected timeframe.


Rush Order / Event Deadline Disclaimer


Customers ordering for tournaments, events, games, competitions, or specific deadlines are strongly encouraged to place orders well in advance. While we make every effort to meet requested timelines, we do not guarantee delivery by a specific event date unless explicitly confirmed in writing. We are not liable for missed events, competitions, tournaments, or related expenses caused by production or carrier delays.


Proof Approval & Order Responsibility


Customers are solely responsible for thoroughly reviewing all proof details before final approval, including but not limited to names, numbers, sizes, spelling, colors, placement, artwork, and overall design layout. The approved proof serves as the final and official reference for production.

Once a proof has been approved, the order is considered final and will immediately proceed into production. After approval, no further changes, cancellations, or modifications can be made under any circumstances.

Failure to review the proof carefully prior to approval may result in production of incorrect details, for which we are not liable. Any errors not identified before approval, including spelling mistakes, incorrect numbers, sizing issues, or design inaccuracies, are the sole responsibility of the customer.

If a proof is not approved within the required timeframe, production and delivery schedules may be adjusted accordingly. Customers are strongly encouraged to review and approve their proof promptly to avoid delays.

If a customer becomes unresponsive for an extended period during the proofing or production process, we reserve the right to place the order on hold until communication is re-established. Extended inactivity may affect production schedules, delivery timelines, or eligibility for certain shipping methods.

We allow revision requests prior to approval to ensure all details are correct before production begins. However, we reserve the right to limit or stop further revision requests if they exceed a reasonable number (e.g., 10 revisions), in order to maintain efficient workflow and avoid production delays.

Orders remaining inactive or unapproved for an extended period may be archived, delayed, or subject to updated production timelines and pricing.


Custom-Made Products


All products are fully custom and made-to-order from scratch based on each customer’s approved design and specifications. We do not carry pre-made or ready stock inventory. Each order is processed and produced based on the approved proof provided to the customer.

Because of the custom nature of our products, orders cannot be canceled, refunded, or modified once production has started. Exceptions may only apply in cases of confirmed manufacturing defects or errors caused by our production team.

Production is carried out strictly in accordance with the approved proof. Any details shown in the final approved design, including names, numbers, sizes, colors, and layout, will be used as the official reference for manufacturing across all items in the order.


Returns, Refunds & Order Protection

All products are made-to-order and fully custom, meaning each item is individually produced based on the approved design and customer specifications. Because of this, orders are generally non-refundable and non-returnable once production has started, except in cases of confirmed manufacturing defects or errors caused by us.

We do not accept returns or refunds for issues related to customer-provided information, including incorrect sizes, names, numbers, artwork, or design approvals. Customers are responsible for carefully reviewing and approving all proof details before production begins.

In cases of verified production delays or significant shipping issues, customers may contact support@australiasportsgearswag.com for assistance. Any review of refunds or adjustments, including shipping fee considerations, will be evaluated based on the specific situation and carrier outcome.

SGS Order Protection (if selected at checkout) provides optional added coverage for eligible orders. This may include replacement or resolution support in certain situations as defined under the protection terms. Customers may enable or disable this option during checkout before completing payment.

Once an order is approved and enters production, it is considered final and protected under our custom production process terms.


Shipping, Delivery & Carrier Responsibility


We offer worldwide shipping and free shipping for qualifying orders, including orders of $50 and above where applicable. Delivery timeframes vary depending on the selected shipping method, order details, production completion, and destination.

Once an order has been shipped, it is handed over to third-party carriers such as DHL, FedEx, UPS, or local delivery partners. From this point onward, delivery is fully managed by the carrier. We are not responsible for transit delays, misdeliveries, customs delays, routing changes, or lost packages once the shipment is in the carrier’s possession.

Orders shipped to PO Box addresses may be redirected through alternative fulfillment or carrier hubs due to shipping restrictions, which may affect delivery timelines or available shipping methods.

Import duties, taxes, or customs fees (if applicable) are determined by the destination country and are not included in our product pricing. These charges are collected by the carrier upon delivery. We refund import duties and customs fees in full upon submission of a valid receipt.


Color, Material & Production Variations


All items are made-to-order using custom manufacturing processes, including cutting, sewing, printing, sublimation, embroidery, and heat application. Due to the nature of these processes, slight variations in color, texture, stitching, alignment, and placement may occur from the digital proof and between individual items in the same order or repeat orders.

Colors may also appear slightly different from what is shown on screen due to differences in device display settings, lighting conditions, fabric type, and production techniques. While we strive to closely match approved Pantone or reference colors, exact color matching cannot always be guaranteed.

Customers further confirm that any submitted designs do not violate licensing agreements, institutional usage policies, or third-party brand guidelines that may restrict reproduction. This includes situations where internal team logos or school branding require prior written approval from governing organizations. We assume all submitted materials are fully cleared for commercial reproduction unless otherwise stated by the customer.

Minor imperfections such as small thread variations, press marks, alignment shifts, trimming residue, or slight print inconsistencies may occur as part of the custom manufacturing process and are not considered defects unless they materially affect the functionality or overall appearance of the product.

These variations are normal in custom production and are not considered defects, as each product is individually made to order.


Order Accuracy & Customer Responsibility


Customers are responsible for carefully reviewing all order details before submission and final proof approval. This includes, but is not limited to, sizes, roster information, names, numbers, spelling, artwork uploads, logos, colors, and any design instructions.

Once an order has been submitted and/or a proof has been approved, it is considered final and will be processed as confirmed. We are not responsible for errors, omissions, or incorrect details provided by the customer, including spelling mistakes, incorrect numbers, wrong sizes, or inaccurate design selections.

Any requested changes must be submitted before proof approval or production begins. After approval, changes may no longer be possible as the order will have entered production.


Intellectual Property & Design Usage


By submitting any artwork, logos, text, or design files, the customer confirms that they own the rights or have obtained proper authorization to use and reproduce all submitted materials. The customer is solely responsible for ensuring that submitted content does not infringe on any copyright, trademark, or other intellectual property rights.

We do not claim ownership of any customer-submitted designs and act solely as a production service provider following the instructions provided.

Customers are responsible for obtaining all necessary permissions to reproduce school logos, league branding, sponsor graphics, copyrighted materials, or any other protected content submitted for production. This responsibility also applies to AI-generated artwork, and customers must ensure they have the legal rights to use and reproduce such content.

We reserve the right to refuse, modify, or request changes to any artwork that is legally restricted, incomplete, low quality, or unsuitable for production due to technical or printing limitations. This includes, but is not limited to, Greek letters, fraternity and sorority symbols, and other licensed organizational marks. Any unauthorized reproduction of protected designs may be declined or removed from production.


Artwork Quality Disclaimer


Final print quality is heavily dependent on the quality, resolution, and format of the artwork, logos, images, and design files provided by the customer. Customers are responsible for submitting clear, high-resolution files suitable for production. Low-resolution images, screenshots, compressed files, copied graphics, or poor-quality artwork may result in blurry prints, pixelation, distortion, color inconsistencies, or reduced overall print quality in the final product.

While we may attempt to enhance or adjust submitted artwork when possible, we do not guarantee the ability to improve low-quality files or recreate missing design elements. Certain artwork limitations may only become visible during production or printing.

Colors, gradients, fine details, textures, and small text may also appear differently depending on the printing method, fabric type, embroidery limitations, material texture, and production process used for the product.


Limitation of Liability


We are not responsible for indirect, incidental, or consequential damages, including but not limited to missed events, games, competitions, deadlines, or business losses.

Our liability is strictly limited to the value of the product and shipping fees paid for the specific order.


Force Majeure (Uncontrollable Events)


We are not responsible or liable for any delays, suspension, or failure to perform our obligations when such delays are caused by events beyond our reasonable control. This includes, but is not limited to, natural disasters, severe weather conditions, pandemics, epidemics, labor strikes or workforce shortages, transportation or shipping disruptions, carrier delays, customs delays, government actions or restrictions, supply chain interruptions, system outages, or other unforeseen events outside of our control.

In such cases, production and delivery timelines may be adjusted without liability, and we will make reasonable efforts to resume normal operations as soon as possible.

We do not guarantee uninterrupted access to our website, design tools, or ordering systems. Temporary downtime, technical issues, or system errors may occur and can affect browsing, checkout, or order processing.


Chargebacks & Payment Disputes


By submitting payment and approving the final proof, the customer acknowledges that all products are custom-made and produced specifically according to the approved design and order details. Once production has started, orders become non-cancelable and non-refundable except as outlined in our official return policy.

Customers agree not to initiate chargebacks or payment disputes for reasons related to approved designs, customer-provided information, delivery delays caused by carriers or external circumstances, or dissatisfaction with elements that were approved during the proof process.

Customers are responsible for any currency conversion fees, international transaction fees, or bank charges imposed by their payment provider.

In the event of a payment dispute or chargeback, we reserve the right to provide all relevant documentation to the payment provider or financial institution as evidence of order authorization and fulfillment. This may include approved proofs, order details, production records, tracking information, delivery confirmation, customer communications, and policy acknowledgements.

Fraudulent or abusive chargebacks may result in refusal of future service, account restrictions, or additional action where permitted by applicable laws and payment provider policies.


Incorrect Address, Refused Packages & Failed Delivery


Customers are responsible for providing complete and accurate shipping information at checkout. We are not responsible for delays, lost shipments, failed deliveries, or additional charges caused by incorrect, incomplete, or undeliverable addresses provided by the customer.

If a package is refused, unclaimed, returned to sender, or undeliverable due to failed delivery attempts, customs refusal, address issues, or recipient unavailability, the customer may be responsible for any additional shipping, return, storage, or reshipment fees charged by the carrier.

Original shipping fees are non-refundable once the order has been shipped. Reshipment of returned packages will only be processed after any applicable additional charges have been paid.


Split Shipments / Partial Shipments


To help reduce delays and improve delivery efficiency, orders may be shipped in multiple packages or separate shipments depending on product availability, production completion, warehouse processing, or carrier limitations. Items within the same order may arrive on different dates and may include separate tracking numbers.

Customers will receive tracking information for each shipment once the items have been dispatched. Additional shipping charges will not apply for split shipments initiated by our team unless otherwise communicated in advance.


Production Tolerance & Size Variance


Due to the nature of custom manufacturing and textile production, slight variations in sizing, measurements, and fit may occur. All garments are produced using industry-standard tolerances, and minor differences of up to a small margin in length, width, or overall fit are considered normal.

Variations may occur as a result of fabric type, cutting process, stitching methods, and production techniques. These tolerances apply to all items, including repeat orders and bulk production runs.

Please note that such minor differences are not considered defects or errors, and are not eligible for returns, refunds, or replacements. Customers are encouraged to carefully review the size chart and select sizes accordingly prior to order approval.

Fit preference may vary by individual body type and personal preference. Customers are responsible for selecting appropriate sizes based on the provided size chart.

We are true to size and designed with a classic loose-fit athletic cut. Our sizing generally aligns with most common sporting apparel brands; however, customers are still strongly encouraged to carefully review the sizing chart prior to placing an order to ensure the best fit.


Duplicate / Repeat Order Variations


Reorders placed at a later date may contain slight differences in color tone, fabric texture, print alignment, stitching, or material due to production batch changes, fabric availability, or manufacturing updates. Exact replication of previous orders cannot be guaranteed.

In some cases, orders may also be produced in a different factory or production facility due to capacity, scheduling, or operational requirements. While we maintain consistent quality standards across all production partners, slight variations in finishing or material handling may occur as a result. Exact replication of fonts, gradients, textures, or previous designs may not always be possible due to production limitations and software differences.

These variations are considered normal in custom manufacturing and are not classified as defects.


Promotional & Marketing Usage


Unless otherwise requested by the customer in writing prior to production, we reserve the right to use non-confidential product images, mockups, and completed custom designs for promotional and marketing purposes. This includes, but is not limited to, use on our website, social media platforms, advertising materials, portfolio displays, and other marketing channels.

We do not use or disclose any sensitive customer information such as personal contact details, payment information, or private order data in any promotional content. Customers who prefer their designs not to be used for marketing purposes may request exclusion by contacting us before order production begins.


Digital Mockup VS Final Product


Digital mockups and proofs are created to provide a visual representation of the final design concept only. While we make every effort to ensure accuracy, they are not exact guarantees of the final printed or manufactured product.

Customers further understand that digital proofs are simulation-based and may not fully replicate physical product behavior under real-world conditions such as movement, stretching, or fabric tension. Elements such as print scaling or alignment may appear slightly different once applied to three-dimensional garment surfaces due to material flexibility and wear positioning.

Due to differences in fabric types, printing methods, material textures, lighting, and device display settings, the final product may have slight variations in color, size, scale, placement, or overall appearance compared to the digital proof.

These minor differences are a normal part of custom production and are not considered defects or errors. By approving the final proof, the customer acknowledges and accepts that the completed product may have slight variations from the digital mockup.


Turnaround Time Clarification


All turnaround times provided on our website, product pages, or communications are estimates only and are not guaranteed. Turnaround time refers to the total time required for both production and shipping, and begins only after final proof approval has been received.

Production timelines may vary depending on order volume, design complexity, customization requirements, and material availability. Delays in proof approval will result in a corresponding delay in production and delivery.

Turnaround times are calculated in business days only, excluding weekends and public holidays. While we make every effort to meet estimated delivery dates, unforeseen delays in production or shipping may occur.


Fraud Prevention / Suspicious Orders


We reserve the right to review, hold, or cancel any order flagged as potentially fraudulent or high-risk by our payment processing system or internal security checks.

Orders with unpaid balances or unresolved payment verification may be placed on hold until payment is completed and verified.

This may include, but is not limited to, orders with inconsistent billing and shipping information, unusual purchasing patterns, failed payment verification, or suspected unauthorized transactions.

In such cases, we may request additional verification such as identity confirmation, proof of payment, or address validation before proceeding with production or shipment.

Orders that cannot be verified or are deemed high-risk may be canceled for security reasons without liability. These measures are in place to protect both our business and our customers from fraudulent activity.


Limitation on Color Matching for Specialty Fabrics


While we strive to achieve accurate and consistent color reproduction, exact color matching cannot be guaranteed on specialty fabrics due to inherent material and production differences.

Certain fabrics—including but not limited to mesh, compression materials, polyester blends, and sublimated textiles—may absorb ink or dye differently, resulting in slight variations in shade, brightness, or tone.

Additionally, factors such as fabric texture, weave, finishing processes, and production methods may affect the final appearance of printed colors.

These variations are considered normal in custom manufacturing and are not classified as defects, as each item is individually produced based on the approved design.
